Assignment Description
Our client is currently seeking an experienced and dedicated Global Delivery Admin Support for their global delivery team. The assignment is based in Gothenburg, with three days a week at their office.
You will be responsible for ensuring the effective onboarding and offboarding of resources to the teams, as well as managing administrative tasks according to their hiring process. You will play a key role in creating the first and last impressions of our client, ensuring that all newcomers and those leaving the team have the best experience.
In addition, you will support the teams with contract management, purchase orders, financial controlling, and follow-up activities to ensure controlled and compliant administration of vendor agreements and costs.
Due to constant changes and the steady addition of new team members, you must possess strong organizational skills, precise attention to detail, and the ability to work collaboratively with a diverse group of colleagues around the globe. About the Team
The global delivery team delivers and supports clinical studies for customers around the world.
They are passionate about delivering innovative solutions to patients and healthcare professionals in clinical studies. Their digital product development and engineering organization consists of many cross-functional teams that work closely together. These teams are spread across different locations around the globe, creating a dynamic environment where you will be part of a great team delivering innovative digital products.
Overview of Responsibilities:
- Support the onboarding of new resources, including arranging background checks, ordering and preparing IT equipment, accounts, and other onboarding materials.
- Administrate invoices, purchase orders, review time reports, and manage contract extensions for consultants and vendors.
- Oversee the offboarding process for leavers, including the collection of IT equipment and account closure according to standard operating practices.
- Procure and administrate IT equipment and devices needed by the teams, maintaining accurate inventories of all equipment in circulation.
- Support team leads with other administrative tasks such as meeting/workshop logistics, travel arrangements, expenses, and visitor support.
- You will be working closely with senior leadership, business stakeholders, program managers, and finance teams.
Required Qualifications:
- Ability to identify and develop new tasks, anticipate needs, and act proactively based on expertise.
- 5+ years of experience in a similar administrative role within the IT sector.
- Proven expertise in financial management and controlling within a large organization.
- Proficiency in financial management software and PMO tools.
- Strong skills in interacting with people in various contexts.
- Previous experience working for a global company.
